Privacy policy
This policy explains how Digital Greenhouse Pty Ltd collects, uses, shares and protects personal information through digitalgreenhouse.com.au, and when you contact us or use our services. We use the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth) as our guide.

Who we are
Digital Greenhouse Pty Ltd (ABN 92 148 046 799) is a Sydney IT consultancy. In this policy, “we”, “us” and “our” mean Digital Greenhouse Pty Ltd. We also operate the Chill Domains and Huntress Sydney websites, which have their own privacy policies: see the Chill Domains privacy policy and the Huntress Sydney privacy policy.
What this policy covers
This policy covers our website, including our free tools, articles and learning pages, and the personal information we handle when you email us, apply for a job with us or use our services.
You can browse this website without telling us who you are. If you contact us, you can use just a first name, but we need a working email address to reply.
Personal information we collect
Depending on how you deal with us, we may collect the following. We don’t ask for sensitive information such as health details, so please leave it out of messages unless it’s needed.
- Contact form: your name, email address, message and consent to be emailed back, plus your business name and topic if you add them. When you send the form, our server adds the date and time, your IP address and your browser details to the email we receive.
- Emails and job applications: your email address and whatever you send us, such as a CV, work history, links or attachments.
- Client services: when you engage us for IT support, web design and hosting, domains, cybersecurity, AI training or video work, the contact and billing details of the people we work with, and any personal information we need to handle in your accounts, websites or systems to do the job.
- Media transfer: your tapes, discs and recordings may contain personal information, such as home videos. We handle them only to do the transfer. Your originals come back to you, the digital files are yours, and we don’t use anything on them for any other purpose.
- Website use: information collected by Google Analytics and Google Fonts (see “Cookies, local storage and analytics”).
- Server logs: like most websites, our web host may keep standard server logs, such as your IP address, browser type and the pages you request.
Our free tools
Most of our free tools run entirely in your browser. What you type, paste or drop into them, such as text, files, passwords, measurements or dates, is processed on your device and isn’t sent to us.
The exception is What’s My IP. To show your public IP address, your browser asks our server, which reads the address, looks up its host name and sends both straight back. Our code doesn’t store the result, but the request passes through our web host like any other page request. The other details on that page, such as your time zone and screen size, stay on your device.
We also offer the tools as an API for AI agents and scripts. Anything sent to the API is processed on our server to work out the answer and sent straight back; our code doesn’t store it. To apply fair-use limits, we keep a scrambled, one-way (hashed) form of the caller’s IP address for a short time. The API’s DNS lookup and email setup check ask Cloudflare’s public DNS service, or Google’s as a backup, about the domain named in the request. API requests pass through our web host like any other page request.
Each tool’s privacy note is about what you enter into that tool. Tool pages still load Google Analytics and Google Fonts, like the rest of the site.
Ivy, our website assistant
Ivy is the experimental AI assistant on our Ivy page. Everything Ivy needs, including the 3D character, loads from our own website. When you ask Ivy a question, our server sends your question, the earlier messages in that chat and the address of the page you’re on to Anthropic, whose Claude AI model writes the reply. Our code doesn’t store what you or Ivy say. Under Anthropic’s commercial terms, it doesn’t use these conversations to train its models. Please don’t type passwords, card numbers or other sensitive details into the chat; for anything private, email us instead.
The chat is kept in your browser’s session storage so it follows you from page to page, and it’s deleted when you close the tab. Your voice on/off choice is saved in your browser’s local storage. To apply fair-use limits, our server keeps a scrambled, one-way (hashed) form of your IP address and the times you asked questions, for up to three days.
Ivy’s voice and the microphone button use your browser’s own speech features. We never receive any audio, only the text of your question. Some browsers turn speech into text, or produce their more natural-sounding voices, using the browser maker’s online service (for example Google for Chrome, or Microsoft for Edge), so your spoken question or Ivy’s reply may go to that company under its own privacy terms. Your browser asks your permission before it uses the microphone.
How we use personal information
We use personal information only for the purpose we collected it for, or a related purpose you’d reasonably expect, unless you agree or the law requires or allows otherwise. We use it to:
- reply to your enquiry and give you information or a quote
- consider job applications
- provide, manage, support and bill for services you’ve engaged us for
- keep business, tax and accounting records
- run and protect the website, including filtering spam and understanding how it’s used
Who we share it with
We don’t sell, rent or trade personal information. We share it only with service providers that help us run our business, when you ask us to, or when the law requires or allows it, for example in response to a court order. These are:
- Google (Google Workspace): our email service. Contact-form messages and emails to info@digitalgreenhouse.com.au are delivered to, and stored in, our Google Workspace mailbox.
- Google (Google Analytics and Google Fonts): website statistics and web fonts (see “Cookies, local storage and analytics”).
- Anthropic: its Claude AI model writes the replies for Ivy, our website assistant (see “Ivy, our website assistant”).
- VentraIP: our Australian web host. It runs the website and contact form, and its mail server delivers form messages if our normal email delivery fails.
- Product vendors: when we set up products such as Huntress for your business, the details needed go to that vendor, which handles them under its own privacy terms.
- Domain registrations: we register and renew domains through Chill Domains, a domain reseller we operate, and our accredited wholesale registrar partner. The registrant’s details go to the registry for the domain: auDA for .au domains, and registries outside Australia, such as in the United States, for extensions like .com and .net. Some registrant details may appear in public WHOIS or RDAP records. See the Chill Domains privacy policy for more detail.
- Stripe: if you pay an invoice by credit card, Stripe processes the payment and receives the details needed to do it, such as your name, email address, card details and the amount you’re paying.
- Amazon (Amazon Associates): some product links on this site are affiliate links to Amazon.com.au. If you click one, Amazon knows the visit came from us; we receive only aggregate reports of what was bought, not who bought it (see “Cookies, local storage and analytics”).
Overseas disclosure
Our website is hosted in Australia. Google stores and processes information in the United States and other countries, so information handled through Google Workspace, Google Analytics and Google Fonts is likely to be stored or accessed outside Australia.
Anthropic, which writes Ivy’s replies, processes questions sent to Ivy in the United States and possibly other countries.
Vendors whose products we set up for clients, such as Huntress Labs, may also store information overseas, depending on the product.
Stripe may store and process payment information in the United States and other countries. If you register a domain with an extension other than .au, such as .com or .net, the registrant’s details go to a registry that may be in the United States or another country. If you choose US-based hosting for your website, your website and any personal information it holds are stored in the United States.
Cookies, local storage and analytics
We use Google Analytics 4 to see, in aggregate, how people use this website. It sets cookies (usually named _ga) to tell visits apart and collects details such as the pages you view, the site that referred you, your device and browser, and your approximate location based on your IP address. Our code doesn’t send what you type into forms to Google Analytics.
Pages also load web fonts from Google Fonts, so your browser sends your IP address and browser details to Google when it fetches them.
Our own code doesn’t set cookies. It uses your browser’s local storage to remember your light or dark theme choice, and the high score and sound setting for our Sprout Catcher game. These stay on your device.
To opt out of Google Analytics, install Google’s opt-out browser add-on, block analytics cookies in your browser or use a content blocker.
Affiliate links. Some pages link to products on Amazon.com.au through the Amazon Associates program; these links are marked “(paid link — Amazon Australia)”. Clicking one takes you to Amazon, where Amazon — not this site — sets cookies on your browser to attribute any purchase to us. Third parties, including Amazon and other advertisers, may serve content and advertisements, collect information directly from visitors, and place or recognise cookies on visitors’ browsers. We earn a small commission on qualifying purchases; it doesn’t change the price you pay, and we don’t receive your name, address or payment details.
Direct marketing
We never sell personal information, and we don’t have a marketing mailing list. If we ever send marketing emails, they’ll only go to people who agree to receive them, and every email will include an easy way to unsubscribe.
Security
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. No online system is completely secure, so we can’t guarantee the security of information sent to us over the internet. These steps include:
- offering encrypted HTTPS connections for the website and contact form
- emailing contact-form messages to our mailbox, normally over an encrypted connection, instead of storing them on the web server
- checking form input and filtering automated spam
- using established providers for hosting and email
How long we keep it
We keep personal information only for as long as we need it for the purposes in this policy or as required by law, for example tax and business record-keeping obligations. When we no longer need it, we take reasonable steps to delete or de-identify it.
To ask us to delete information we hold about you, such as an old enquiry, a job application or our working copies of your media-transfer files, email us. We’ll tell you what we can delete and anything we need to keep.
Accessing and correcting your information
To ask for access to the personal information we hold about you, or to have it corrected, email info@digitalgreenhouse.com.au. We may need to confirm your identity first, and there’s no charge to make a request. We aim to respond within 30 days. If we refuse, we’ll explain why in writing and tell you how to complain.
Making a complaint
If you’re concerned about how we’ve handled your personal information, please contact us first (details below) and tell us what happened. We’ll look into it and aim to reply in writing within 30 days. If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC):
- Website: www.oaic.gov.au
- Phone: 1300 363 992
Changes to this policy
We may update this policy when our website, services or providers change. The current version, with the date it was last updated, will always be on this page.
